What is Moodle Auto-enrolment

Auto-enrolment on Moodle is a process whereby students who have successfully completed their module selection and registration through the Academic Information System are then enrolled to their selected modules on Moodle, where these modules are eligible and setup to receive auto-enrolments.

There are a number of reasons why auto-enrolment may not be enabled:

  • Multiple instances of a module may exist, each of which accept only a number of students. This can sometimes be addressed by establishing a single homepage page for the module with linked branch pages;
  • Insufficient information was available or appropriate and matching Module Codes and Names were not configured to allow the setup of auto-enrolment;
  • The Moodle page may not be a teaching page and not have a formal Module Code and Name;
  • The Moodle page may combine students who have registered for different modules;
  • The module may be delivered as part of a first-year programme or in circumstances where delayed module elections apply.

How does auto-enrolment work

All students are required to Register module selections through the College’s Academic Information System. This initiates their auto-enrolment:

  • Once a student has successfully completed their module Registration, their module details are noted for auto-enrolment;
  • Overnight, these auto-enrolment details are matched against eligible auto-enrolment modules: where a match exists, the student is automatically enrolled by 8.30am the following working morning.

What should I know

  • If your module is eligible for auto-enrolment, you will be notified about this by email at the start of semester or at the point where auto-enrolment is enabled.
  • If you have multiple modules on Moodle, you will receive an individual notification for each auto-enrolment eligible module.
  • In all cases, the earliest point at which a student will be enrolled to an eligible module is by 8.30am on the following working morning. This may result in students being enrolled over several days as they proceed with their module Registration.
  • Auto-enrolment will not remove any students from your module.
  • It should not be necessary to circulate a Moodle Self-enrolment Key to students for your module unless advised specifically to do so as this may result in duplicate student enrolments.
  • Students may be auto-enrolled to your module/page even before you have made your page public. Note that students will not be able to see your page until the following conditions are met:
    1. The Course visibility is set to Show (how to do this), and
    2. The Course start date (and time) has passed, that is, the Course start date is earlier than today (or the time now) (to check this, refer to Point 6 here).
