Microsoft OneNote Class Notebook is a valuable resource for teachers as it can provide an efficient and collaborative digital space for lesson support, content sharing, project planning and personalised feedback among other features.

Because of this flexibility, it is possible to compile significant repositories of materials within a OneNote Class Notebook that you may wish to migrate to a new Class Notebook when a semester rolls-over.

This article will propose one method to perform this roll-over.


Note

The following guidance is based on the use of the Microsoft OneNote for Windows 10/11 desktop app version. Please consider using the desktop app version when following the steps provided below.

Necessary Prerequisites

  • You have a Microsoft OneNote Class Notebook already configured as a source Notebook;
  • This source OneNote Class Notebook contains a Section Group identified as Content Library (_Content Library);
  • The content that you wish to migrate from your source OneNote Class Notebook has been populated into the Content Library Section Group. You will not be able to copy from other sections;
  • You have created a new destination OneNote Class Notebook to which you will copy your source Content Library. If you have not got access to this destination OneNote Class Notebook, please check that you:
  1. Have a Moodle page for your Module;
  2. The Moodle page has Microsoft Office Services activated, including Microsoft OneNote Class Notebook (your page activation from LEAD will advise if Microsoft Teams is activated, and if so, Microsoft Office Services are also available);
  3. Ensure that you set your Module to ‘Show’ through page settings for a few minutes, after which you can set the Module back to ‘Hide’ if you need. This step ensures that your Module page creates a Microsoft Team with the associated OneNote Class Notebook for the Module;
  4. Check your Microsoft Teams app to confirm that you have been connected to a new Module Teams Team and that, within that new Module Team that you can see the OneNote Class Notebook.
  • Make a note of the OneNote Class Notebook’s name as you will need this as your destination during the rollover.

Rollover Steps - Content Library Copy

  • Open the Microsoft OneNote application on your laptop or desktop device and, if necessary, sign in using your institutional credentials in order to see the OneNote Class Notebooks associated with your account.
  • Navigate to the source Class Notebook that contains the Content Library section you want to copy. Open the required Notebook by clicking on its name.
  • Within the source Class Notebook, locate the Content Library section and click on this header open it and confirm the correct source.

  • On the OneNote application menu bar locate the Class Notebook tab and click on this to display available options. From the menu options click on Copy to Content Library menu item.
  • A Copy to Content Library side panel will display. Check/tick the boxes for the Sections within the Content Library that you wish to copy from the source Class Notebook to the destination.
  • Click Next once the Section(s) selection has been made.

  • Now choose the destination notebook to which the Content Library selected sections should be copied; check/tick the appropriate choice(s) – the source Content Library materials may be copied to more than one destination - and click Copy to start the process.

  • The copying progress will be displayed in the sidebar. You may navigate away from this page if you wish while the process is running.

  • Once the Copy process is complete, open the destination OneNote Class Notebooks, locate the Content Library (_Content Library) and expand the Section Group. You should now see the copied Content Library Sections from the source.*
  • Verify your content has correctly copied to the destination OneNote Class Notebook and once satisfied, proceed to organise the content as you require.

Troubleshooting:
My copied content is not visible in the destination

*In the event that the destination Content Library does not display the recently copied sections,

  1. Locate the OneNote Class Notebook Name at the top;
  2. Right click on the Notebook Name to show the Context menu;
  3. From the Context menu choose Sync;

  4. From the options presented choose Sync this Notebook.
The Notebook Synchronisation process will run and the recently copied sections should be displayed.
